P.5 - Logistics

Hotel Rooms for Crew

Similar to the barnstormers of the early days of aviation, our crew consider the "road" to be their home. Staying in over 120 cities per year, the crew appreciates help from the local organizers and hotels to assure a clean, but inexpensive nights stay in each location. We always look for discounts and complementary rooms as the expenses of nightly rooms becomes quite a burden on the revenue used to support the aircraft. Though it may not look like it, a penny saved from logistics concerns is a penny earned by the aircraft to help keep them flying into the future. Coordination with hotel managers can make the effort easier as they may be able to achieve greater discounts or complementary rooms for a trade-off of inbound flights (see below). Here are some considerations to think about when looking for hotel accommodations for the crew.

  • The crew needs a total of 6 non-smoking rooms with two double beds in each room. Two occupants per room.
  • We don't need anything luxurious, just clean and safe (Comfort Inn, Hampton Inn, Holiday Inn-type is perfectly fine).
  • Try to barter two seats on the inbound flight for complementary rooms. Because of space, we must limit at two seats only.

Vehicles for Crew

Once on the ground, the crew needs transportation for traveling to hotels, restaurants, stores, and to accomplish errands on the ground. Mileage is never that great as most of the travel is local. Our crew will need arrangements for two mini-vans or comparable for ground transportation. Here are some items to consider:

  • Try to barter vehicle rental for one spot (one seat) on the inbound flight (similar to hotel barter). Again, space is a consideration, so we must limit it to one.
  • Try both local car rental companies and local car dealerships to get the best deal. Many times your local car dealership may be able to provide "program cars" with their logos on the sides to help promote. Encourage this as the cars will be parked with the aircraft and will be seen by the public.
  • The Collings Foundation can fax a copy of our corporate insurance policy noting coverage for non-owner drivers.
